1.5. Customizing the Toolbar

Customizing the toolbar in Excel allows you to personalize the workspace according to your preferences and make your work more efficient. The Quick Access Toolbar (QAT) and the Ribbon are both customizable, letting you add or remove commands that you use most often. This can save you time and help you focus on the tools that matter most to your tasks.

1. Quick Access Toolbar (QAT) Customization

The Quick Access Toolbar (QAT) is a small toolbar located above the Ribbon, providing quick access to frequently used commands such as Save, Undo, Redo, and Print. You can customize the QAT by adding the commands you use most often, making it easier to access them without navigating through the Ribbon.

  • Adding Commands to QAT:
    • Click the small dropdown arrow at the right end of the QAT.
    • Select More Commands to open the Excel Options window.
    • In the window, choose commands from the left list and click Add to move them to the right list (the QAT).
    • You can add any command, from basic actions like Bold or Save to more advanced options like Insert Table or Print Preview.
  • Removing Commands from QAT:
    • To remove a command, go back to the More Commands window, select the command from the right list, and click Remove.
    • Alternatively, right-click the command in the QAT and choose Remove from Quick Access Toolbar.
  • Rearranging Commands:
    • In the Excel Options window, you can change the order of the commands in the QAT by selecting a command and using the up or down arrows to move it.
  • Showing QAT Below the Ribbon:
    • If you prefer more space on the top of the window, you can choose to display the QAT below the Ribbon. Right-click any part of the Ribbon, and select Show Quick Access Toolbar Below the Ribbon.

2. Ribbon Customization

The Ribbon is where most of Excel’s features are located. While the Ribbon is designed to be intuitive, you can tailor it to suit your needs by adding, removing, or rearranging commands and tabs. Customizing the Ribbon allows you to make the tools you use most frequently more accessible.

  • Creating Custom Tabs:
    • Right-click anywhere on the Ribbon and select Customize the Ribbon to open the Excel Options window.
    • On the right side of the window, click New Tab to create a custom tab. This new tab will initially have a default name, but you can rename it by selecting it and clicking Rename.
    • Once you have a custom tab, you can add commands to it by selecting them from the list on the left and clicking Add.
  • Adding and Removing Commands:
    • In the Customize Ribbon window, you can add commands from the list on the left by selecting them and clicking Add.
    • To remove a command from a tab, select it on the right and click Remove.
    • You can also organize commands into custom groups for more efficient organization by selecting New Group within a tab and moving your desired commands there.
  • Renaming Commands and Groups:
    • To make the Ribbon more user-friendly, you can rename any tab or group. Simply select the tab or group and click Rename. You can change the name to something more descriptive that fits your workflow.
  • Exporting and Importing Ribbon Customizations:
    • If you want to transfer your customized Ribbon to another machine, Excel allows you to export your Ribbon settings. In the Customize Ribbon window, click the Import/Export button to export or import your settings.
  • Resetting Ribbon to Default:
    • If you ever want to start fresh, you can reset the Ribbon to its default state. In the Excel Options window, under Customize Ribbon, click Reset and choose whether to reset just the selected tab or all tabs.

3. Customizing Keyboard Shortcuts

Excel allows you to customize keyboard shortcuts to streamline your workflow. By assigning shortcuts to frequently used commands, you can avoid having to navigate the Ribbon or QAT.

  • Assigning Shortcuts:
    • To customize keyboard shortcuts, go to File > Options > Customize Ribbon and click on Keyboard Shortcuts at the bottom of the window.
    • Select the command you want to assign a shortcut to, and enter the shortcut keys you want to use.
  • Resetting Shortcuts:
    • If you want to reset your keyboard shortcuts to the default settings, you can do so from the same menu where you customized them.

4. Benefits of Customizing the Toolbar

Customizing the toolbar in Excel can save you time and make your workflow more efficient. By adding your most-used commands to the QAT and creating custom Ribbon tabs, you can reduce the number of clicks and minimize distractions. This can be particularly useful for professionals who use Excel frequently and need quick access to specific tools or commands.

Additionally, customizing keyboard shortcuts and adjusting the Ribbon to fit your workflow can help you streamline your tasks and improve your overall productivity. Whether you’re creating complex reports, analyzing data, or automating tasks, having a personalized workspace can help you work faster and more effectively.

5. Conclusion

Customizing the toolbar in Excel is a powerful way to make the program work for you. By adjusting the QAT, Ribbon, and keyboard shortcuts, you can create a personalized, efficient workspace that helps you accomplish your tasks more quickly. This level of customization is particularly valuable for professionals, analysts, and anyone who uses Excel regularly.
